Sound familiar?
What goes wrong today.
The paper register and the shelf show different counts.
Entries lack the prescriber, patient or reason, which worries inspectors.
Partly used ampoules in OT and ICU are not recorded.
How it works
Simple, step by step.
- Doctor prescribesThe controlled drug is ordered for a named patient.
- Pharmacist issuesThe issue is logged with batch and quantity, and the balance updates.
- Use or waste recordedThe ward or OT records what was given and any waste, with a witness.
- Register readyThe running register can be printed or checked at any time.
In detail
Everything in narcotics and schedule h1.
Opening, received, issued and closing balance for each drug.
Every entry has the doctor, patient and reason.
Discarded amounts need a second person to confirm.
Entries cannot be deleted. Corrections are added with a reason.
Print the register in the format inspectors expect.
A count that does not match the balance is flagged at once.
Before and after
The difference on day one.
Today
- The register and the shelf never tally.
- Entries miss the doctor or the patient.
- Wasted doses are not recorded.
With Kaagazy HMIS
- A running balance updates with each issue.
- Every entry needs both before it saves.
- Waste is logged with a witness.
Who uses it
Made for the people doing the work.
More in Pharmacy and stock
It all works together.
Doctors' orders from OPD and wards reach the pharmacy screen and are dispensed by batch, then billed.
Ward indentsWards ask for medicines for patients and floor stock on screen, and the pharmacy issues and charges.
Batch and expiry trackingEvery item is tracked by batch, MRP and expiry, with near-expiry lists in time to use or return.
Central and sub-storesRun the main store and OT, ICU and ward sub-stores together, with transfers and stock in each.
Purchase and GRNPurchase orders, goods received and vendor bills are matched in one flow, so you pay for what arrived.
Returns and reorder levelsHandle patient and vendor returns cleanly, and get a reorder list before items run out.
OP pharmacy counterCounter sales with GST invoices, UPI payment and the bill sent on WhatsApp.
Consumables and general itemsLinen, stationery, housekeeping and engineering items run through the same stores as medicines.
Questions
Before you talk to us.
Does this follow our state's register format?
The register holds the usual fields. Your state's print format is set up with you in the walkthrough.
Can someone delete a wrong entry?
No. A correction is added with a reason, and the original stays visible.
Do OT and ICU stock count too?
Yes. Controlled drugs kept in OT and ICU sub-stores have their own balance.
